Position Executive Assistant to the President Full Time/Part Time Full Time Job Type Regular Position Summary
This position provides comprehensive oversight of all administrative and operational matters for the Office of the President, managing a wide range of issues on behalf of leadership and ensuring seamless coordination of agendas, schedules, special events, and activities. Serving as the primary point of contact for both internal and external stakeholders, this position requires confidentiality, strategic thinking, and strong planning skills. This position manages communication on behalf of the President, frequently handling issues of institutional significance and coordinating projects with broad impact. Investigates, organizes, and ensures follow-up on various matters directed to or involving the President's Office, including those of a sensitive and/or confidential nature. Manages a variety of special projects, some of which may have institutional impact. Serves as liaison between the President and other senior officers of the University.
Duties and Responsibilities
* Duties include but are not limited to:
* Serves as the principal aide to the President, directly handling day-to-day operational matters, often related to complex and confidential issues.
* Schedules, organizes, and coordinates meetings, office functions, and special events; coordinates the President's attendance at University and community functions.
* Serves as the primary point of initial contact on administrative and operational matters for internal and external constituencies, including faculty, staff, student governance groups, and the community.
* Independently researches and prioritizes incoming issues and determines the appropriate course of action, referral, or response.
* Oversees daily administration of the President's Office, ensuring compliance with University policies and relevant laws and regulations.
* Develops and updates policies and procedures for the office and ensures understanding and compliance with University policies.
* Gathers, researches, analyzes, and studies information affecting University operations.
* Participates in various committees and professional organizations.
* Maintains all formal records and archives for the office.
* Manages special programs or initiatives on behalf of the President.
* Coordinates and/or assists with budget development and monitors allocations and expenditures for the President's Office.
* Oversees and coordinates the work of administrative support staff, including management, training, and scheduling.
* May negotiate and administer contracts and/or agreements.
* Maintains regular attendance.
* Performs other job-related duties as assigned.
Minimum Job Requirements
* EDUCATION: Associate degree.
* EXPERIENCE: Four (4) years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
* PREFERENCE:
* Bachelor's degree in any field.

* Must be willing to work evenings, weekends, and irregular hours as needed.
Knowledge, Skills, and Abilities
* Knowledge of budget preparation and fiscal management;
* Knowledge of administrative policies and procedures in public academic institutions;
* Understanding of organizational structure and workflow in a large institution;
* Strong interpersonal and communication skills; ability to work with diverse constituencies;
* Demonstrated organizational and project management skills;
* Proficiency with computer systems and office software;
* Ability to manage confidential and sensitive information with discretion;
* Ability to perform complex tasks and prioritize multiple responsibilities;
* Skill in report preparation, editing correspondence, and written communication;
* Ability to foster a collaborative work environment;
* Ability to develop and maintain effective record-keeping systems.
