Job Overview:
As a Facilities Support Associate at FirstService Residential, you will provide coverage in the lobby during breaks, absences, and as needed, greeting visitors and responding to inquiries. You will also undertake a range of administrative responsibilities, including daily mail processing, document management, and uploading files to Connect, SharePoint FileShares, or other document storage systems. Your role will encompass various mailroom functions, such as sorting and distributing incoming mail, preparing outgoing mail, and assisting with general administrative tasks related to document organization.other general administrative tasks related to document organization.
Compensation: $18.50-$19.50 per hour
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, certifications, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Your Responsibilities:
* Open, stamp, and distribute all incoming mail according to company guidelines.
* Prepare and process outgoing mail, ensuring it is sent according to established procedures.
* Handle FedEx, GLS, and other mail shipments, ensuring compliance with company policies.
* Assist with processing association mailings and document printing.
* Record and document details related to mail and document handling, such as envelope usage and postage information.
* Provide coverage in the lobby for breaks, absences and as needed, greeting visitors and responding to inquiries.
* Assist with stocking and maintaining break room supplies, such as snacks and beverages.
* Respond to emails and communications promptly, within 24 hours.
* Upload, index, and maintain documents in the company's document management system.
* Ensure documents are accurately filed and processed in a timely manner.
* Track deliveries of supplies, maintenance items, fixtures and records storage.
* Set up and tear down of conference room to support various meetings needs.
* Maintain inventory of fixtures, equipment, and supplies.
* Support other areas of the Facilities Department as needed.
* Consistent regular and timely attendance.
* Perform other tasks and duties as assigned by the Facilities Manager.
Skills and Qualifications:
* High school diploma or equivalent.
* Minimum of 1 year of experience in mailroom operations or shipping and receiving.
* Proficiency with Microsoft Word, Outlook, and Excel.
* Experience with Connect, DocuWare or similar systems is preferred.
* Strong organizational and time management skills.
* Excellent communication skills, both written and verbal.
* Ability to work independently and as part of a team.
* Strong customer service skills and attention to detail.
* Basic knowledge of office equipment, such as copiers, printers, and mail machines.
* Ability to adapt to flexible work hours during peak times as required.
Physical Requirements:
This position is based in a standard office environment, with occasional physical tasks such as handling packages or stocking supplies. Extended hours or weekend work may be required during peak periods.
