Position Description

Position Summary:

The Front Desk Receptionist / HR Assistant is responsible for providing a professional and welcoming first impression for employees, visitors, and customers. This position manages the front desk and phone system while also providing administrative support to the Human Resources department. The ideal candidate is organized, friendly, dependable, and able to handle multiple tasks in a fast-paced environment.

Essential Job Responsibilities

  • Greet and assist visitors, employees, and vendors in a professional and courteous manner.
  • Answer and route incoming phone calls, take accurate messages, and respond to general inquiries.
  • Maintain a clean, organized, and professional front desk and reception area.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist HR with onboarding tasks, including preparing new hire paperwork and organizing employee files.
  • Support the hiring process by scheduling interviews and communicating with candidates as directed.
  • Maintain accurate employee records and assist with filing and document retention.
  • Help coordinate new hire orientations and assist with distributing company policies and materials.
  • Assist in tracking training completion, certifications, and required documentation.
  • Support HR with employee communications such as memos, reminders, and announcements.
  • Assist with basic data entry in HR systems and spreadsheets.
  • Maintain confidentiality of employee and company information at all times.
    • Perform additional tasks as assigned by the HR manager.
Position Requirements

Experience, Educational, and Additional Requirements:
  • High school diploma or GED required.
  • 1+ year of receptionist, administrative, or customer service experience preferred.
  • Previous HR administrative support experience is a plus but not required.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a busy office environment.
  • Excellent verbal and written communication skills.
  • Professional appearance and customer-service mindset.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Ability to handle sensitive information with professionalism and discretion.
  • Bilingual in both English and Spanish required
  • Must be able to lift 25lb.
  • Pass mandatory drug test and background check required.
  • Must be able to read and write in English and/or Spanish at a level sufficient to follow safety instructions, complete required documentation accurately, and communicate effectively with supervisors, coworkers, and customers.
Preferred Skills
  • Experience scheduling interviews and coordinating calendars
  • Familiarity with onboarding paperwork processes
  • Experience maintaining employee files and document retention systems
  • Experience in a construction, trades, or field-based workforce environment
