Position Summary

The Environmental Administrative Clerk provides comprehensive clerical and administrative supportto the Environmental, Health, and Safety (EHS) Department. This position plays a key role in maintaining regulatory compliance, managing environmental records, supporting permit tracking, and coordinating communication between regulatory agencies, staff, consultants, and the public. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with professionalism.

Key Responsibilities

Administrative & Office Support

  • Provide general clerical support to the EHS department.
  • Answer phones, respond to correspondence, and greet visitors in a professional manner.
  • Schedule meetings, training sessions, and departmental events.
  • Coordinate communication between departments and distribute reports as needed.
  • Maintain office supplies inventory and work with vendors to ensure adequate stock.
  • Operate and maintain office equipment including copiers, printers, and fax machines.
Data Entry & Records Management
  • Input and maintain environmental data such as emissions reports, waste management logs, and compliance documentation.
  • Maintain organized and confidential regulatory compliance files in both digital and physical formats.
  • Scan, file, and archive documents for easy retrieval.
  • Track permits, renewals, and regulatory deadlines to ensure compliance.
Regulatory Compliance Support
  • Assist in preparing reports and documentation for submission to regulatory agencies.
  • Support environmental audits and inspections by compiling required records.
  • Monitor and track environmental regulations and assist with permit applications and renewals.
  • Process and respond to public records requests related to environmental matters.
Financial & Grant Support
  • Process invoices, receipts, and purchase orders.
  • Assist with budget tracking, grant documentation, and financial record-keeping.
  • Maintain accurate documentation of departmental expenditures.
Communication & Liaison Duties
  • Serve as a liaison between staff, consultants, regulatory agencies, and the public regarding environmental inquiries.
  • Handle requests or complaints professionally and route concerns to appropriate personnel.
  • Coordinate off-site delivery of files and reports when required.
Qualifications & Skills

Education
  • High school diploma or GED required.
  • Associate degree in Office Administration, Environmental Studies, or a related field preferred.
Experience
  • Minimum of one (1) year of administrative or clerical experience required.
  • Experience in environmental, industrial, government, or regulatory settings preferred.
Technical Skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with databases and accounting software (e.g., QuickBooks) preferred.
  • Ability to learn environmental compliance tracking systems.

  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage confidential information with discretion.
  • Effective written and verbal communication skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Physical Requirements
  • Frequently required to sit, stand, walk, and use hands to operate office equipment.
  • Occasionally lift and/or move files or supplies up to 30 pounds.
  • Regular interaction with internal staff, regulatory representatives, and outside visitors.
  • Occasional travel within the organization to deliver documents or attend meetings.

Work Environment

This position operates primarily in an office setting within the Environmental, Health, and Safety Department and requires regular interaction with internal departments, regulatory agencies, and the public.
