Administrative Assistant

Description:

The Administrative Assistant will provide ongoing support to the Executive Assistant of the CEO including the organization and administration of financial related information, assistance with personal matters and general administrative tasks in the Las Vegas office. Additional support will be provided to the Company's General Counsel.

Duties and Responsibilities:

  • Manages a broad range of confidential administrative responsibilities and projects. Plans and orchestrates work to ensure priorities are met, organizational goals are achieved, and best practices upheld.
  • Develop and maintain an organized structure for financial documents and related information. Maintain an electronic filing system for all documents and reports.
  • Utilizes Microsoft Word, Excel and PowerPoint to create and edit documents, spreadsheets and presentations.
  • Manages calendars including proactively rescheduling meetings to accommodate travel requirements and other conflicts.
  • Coordinates domestic and international travel and itineraries including air reservations, hotel accommodations and ground transportation.
  • Collect receipts and process expense reports accurately and promptly using the Concur expense system.
  • Assists in the coordination and execution of internal and external events such as sales meetings, dinners and events.
  • Compiles financial, statistical data and reports as requested by leadership in finance, operations etc.
  • Maintains professionalism and strict confidentiality with all Company materials and exercises discretion when interfacing with internal and external contacts.
  • Develop and maintain reports; distribute reports on a regular schedule.
  • Organize personal financial paperwork, obtain necessary signatures and ensure timely delivery.
  • Provide personal assistant capacities as requested (Errands, Personal Property Registrations, etc.).
  • Assist the Executive Assistant in Chicago, IL with planning travel, meetings, presentations, and other events as needed.
  • Serve as a trusted liaison between executives and internal/external stakeholders, ensuring confidentiality and professionalism at all times.

Education and Experience:

  • College degree or equivalent work experience.
  • Five years of experience supporting a member of the C-Suite executive team.
  • Accounting or paralegal experience a plus.
  • Experience with Concur or similar expense management systems.
  • Familiarity with legal or financial documentation.

Knowledge, Skills, and Abilities:

  • Strong organizational skills, attention to detail and ability to manage multiple priorities effectively.
  • Advanced skills in Microsoft Office Suite, specifically Excel is required.
  • Ability to create and edit Word, Excel, and PowerPoint documents.
  • Strong proactive communication and interpersonal skills.
  • Highest level of integrity and ethical standards.
  • Self-starter, strong work ethic.
  • Outstanding time and task management.
  • Ability to read, analyze, and organize financial documents.
  • Strong financial acumen; ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions.
